Timer

Goal

To support fairness, discipline, and learning by ensuring that all speakers and role holders stay within their allotted speaking time. The Timer helps members develop an awareness of effective time management — an essential speaking skill.

Tasks

  • Familiarize yourself with the standard timing rules:
    • Prepared speeches: usually 5–7 minutes (unless announced otherwise)
    • Evaluation speeches: 2–3 minutes (2:00 green, 2:30 yellow, 3:00 red)
    • Table Topics: 1–2 minutes (1:00 green, 1:30 yellow, 2:00 red)
  • Explain the timing rules briefly when called upon at the beginning of the meeting.
  • Time each speaker accurately.
  • Operate the timing device (green, yellow, red) clearly and consistently. The signal should remain on once the green light has been reached for the first time.
  • Test the device before the meeting commences. Familiarize yourself with how to use the device. If the device does not work, get an alternative such as colored cards and alert the VP Education about the failure
  • Record all speaking times. In your report, state the exact times for the prepared speakers; other times may be summarized if helpful.
  • Support the Toastmaster of the Evening where necessary; for example give a signal, when the Table Topics session should come to an end.
  • Present your timing report when requested.
  • Time for report at the end: 3 minutes.

Hints

  • Sit where you are clearly visible to all speakers but not visible from the audience, so that they aren’t distracted from the light.
  • Keep your signals steady and easy to recognize.
  • Stay focused throughout the meeting — timing requires continuous attention.
  • Your presentation at the end of the meeting is a speech — treat it like one (for example with a clear structure and message).
